This is your weekly go-to for everything you need to know as an Executive or Technical Director working in soccer clubs and academies across Ontario. My goal here, you know, is to bring you actionable insights, the latest updates, and practical advice to help make your job just a little easier—and dare I say, maybe even more enjoyable.

For those of you who don’t know me, my name is Sanford Carabin and I’ve spent decades in the Ontario soccer space—managing, coaching, scouting, you name it. I’ve worked with clubs from Markham to Mississauga, to Brampton to overseeing the the Durham Region, so I’m I’m no stranger to the challenges you face, whether that’s securing field permits, navigating licensing requirements, dealing with parents or developing that next generation of players and coaches. I’ve been in your shoes, and trust me, I get it.

So what will you get today? Well, first, an introduction to what we’re building here. This is all about finding ways to streamline the work you’re already doing and maybe, just maybe, providing a new perspective or two along the way. News and Updates Across Ontario

Alright, let’s dive into some of the key updates shaping the soccer landscape in Ontario this week. First up, it’s convention season! The United Soccer Coaches Convention is kicking off in Chicago from January 7th to the 12th. This annual gathering pulls in over 10,000 coaches and administrators from across North America. And this year, as always, Ontario’s leaders are well-represented. If you’re one of the lucky attendees, this is the perfect chance to connect, learn, and share insights with peers in the industry. I will be there so...if your around the convention halls...please say hi.

Now, onto National Soccer news—the Canada Soccer C Diploma course for 2025 is live. This program offers a unique chance to enhance coaching quality across Ontario. By investing in this training, not only can clubs elevate their coaching standards, but it also opens up more opportunities for professional development. If you’re considering it for your staff, now’s the time to start those conversations.

Speaking of development, let’s also touch on the latest initiative from Ontario Soccer, the Futsal Coach Education Pathway. This was created in collaboration with nine Provincial-Territorial Associations. It’s a critical step in bridging the gap between futsal and traditional soccer methodologies.

For those running recreation programs this summer, here’s your reminder to get ahead on sponsor outreach. Large businesses tend to have allocated their discretionary marketing funds by now but local small business love supporting teams and often do not allocate funds until contacted. If your club is looking for team or age group sponsorships, put together a small presentation deck outlining your clubs history, community reach, assets you can offer to a sponsor (i.e. brand recognition on team jerseys, logo identification on your website, targeting email campaigns, etc.) Just don't ask for money without a plan.....most local business get hit up all the time and if you come with a clean package and list of deliverables, you will have a better chance to succeed.

On a different note, there’s a new law coming into effect this summer. The Garrett’s Legacy Act will introduce policies for portable net usage. This is something all Directors should familiarize themselves with. Check to see if your current portable nets meet the new requirements and coordinate with your Districts and Municipalities to ensure compliance. It’s better to tackle this now than scramble right before your programs start.

Now let’s talk about the Canada Soccer Club Licensing program. Many clubs are still catching up with the new mandates from last year. If your club is aiming to apply for any tier this year, take note of those deadlines on the Ontario Soccer website. Missing them could mean waiting another year, so don’t let it slip through the cracks.

Weekly Focus - Leveraging AI in Club Operations

Alright, let’s shift gears a little and talk about something that’s been buzzing around the world and has implications in the world of youth soccer management—AI. Leveraging AI tools to streamline club operations is here! . I mean, we we all know how managing a club can really feel like juggling a hundred things at once, right?

Let’s start with communications. There are some incredible options out there now, platforms like Spinach, Tome, and Heja, for instance can help with transcribing the many zoom calls and google meets we conduct daily. And, tools like ChatGPT or Claude, well, they can knock out things like emails or meeting agendas in literally seconds. I’ve tried them myself, and honestly, they save a ton of back-and-forth effort.

But it doesn’t stop there. Let’s dig into player performance analysis for a second. If you’re not already using platforms like Veo, you’re missing out. This tools analyze game footage and spit out insights—passing accuracy, heat maps, sprint speeds, you name it. It’s actionable data that, honestly, can save coaches hours of manual review. Check in with Bjorn Osiaek from Ontario Soccer for what the latest discounts are offered to Ontario Members Clubs

And, and speaking of optimization, tools like Beyond Pulse or Playermaker are a game-changer. They monitor physical workloads—things like heart rates and running distances— as well as track touches on the ball. That kind of insight is becoming the standard now at clubs and academies.

In terms of staffing, you’ve got AI-driven tools like LinkedIn Talent Insights that make resume screening way easier. Pair that with something like ChatGPT or Claude to write your job postings, and you’re good to go.

Now, I know financial management might not be the first thing Directors think of when they hear AI, but trust me, it’s worth exploring. Tools like QuickBooks with AI features can automate invoicing and track expenses effortlessly. Plus, if you’re working to lock in sponsors, AI can help you show measurable ROI through detailed analytics.

Finally, let’s not forget marketing. Canva with AI, Heygen, INvideo are AI tools that are absolute lifesavers for content creation. Whether it’s social media graphics or videos for your campaigns, they make it quick, easy, and professional. Many of these tools have free versions so they don't actually cost ...or at very least, minimal monthly spends.

Upcoming Events and Deadlines

Okay, to finish off....let’s talk deadlines and events—you know, the stuff that keeps our calendars full but keeps us connected in the game. First up, the Ontario Soccer Grassroots Futsal Festivals. These are kicking off later this month, and I mean, this is such a great opportunity for those younger players—U7, U9, U11, and U13’s for this year—just to get out there and experience the game in a fast-paced, fun environment.

But here’s the thing: the deadline to register is coming up quick, on January 10th. So if your club wants to organize teams, you’ve, like, gotta act now. All the details, as always, are on the Ontario Soccer website. Check that out for entry info, but seriously, don’t wait until the last minute because, well, you know how fast these registrations can close.
